HVAC dispatch software: what owners report, what it costs, what to check
Short answer: HVAC dispatch software costs from about $208 a month flat (Service Fusion Starter, unlimited users) to roughly $3,740 a month for a 10-tech shop on ServiceTitan, which publishes no price and is estimated at $250 to $498 a tech. The trouble owners report is rarely the dispatch board. It is auto-renewal, add-ons nobody uses, and exit fees.
These are owner reports and published prices as read on November 4, 2026, not findings about any company.
What are HVAC owners reporting about their dispatch software?
I read the one- and two-star page for ServiceTitan on Trustpilot on November 4, 2026. It shows 4.0 out of 5 from 423 reviews, so most customers are not unhappy. The negative reviews that are there cluster around money and contracts rather than the dispatch screen itself. I paraphrase and name nobody.
- Auto-renewal (Jul 29, 2026): an owner says one-year add-on contracts renewed on their own, and that they kept paying for add-ons they never used, including a price book.
- Lock-in (Oct 3, 2026): a reviewer says data transfer errors during onboarding cost months, and that the contract kept them in place while they moved to a lower plan.
- Exit fee (Jul 13, 2026): a reviewer says an early-exit promise from the sales stage was not honored and that a fee of about $22,000 was quoted.
- Add-ons (Oct 6, 2026): one reviewer says the add-on fees felt excessive for what they were sold.
Review sites over-represent unhappy people, and the company may dispute every point. I also read the FieldEdge page the same day: it shows 2.8 from 47 reviews, with an April 6, 2026 report of a cancellation refused until the remaining contract balance was paid. Same pattern, different vendor. Both pages are linked in Sources.
Why does a dispatch bill grow faster than the shop?
Because most field service software charges per person, and every hire adds a line. A shop that adds two techs and a dispatcher pays for three more seats on the same day it pays for three more trucks.
Three things sit behind most surprises:
- Per-seat pricing. ServiceTitan is priced per technician and, per CostBench, ran $250 to $498 a user a month on both its March 6 and July 16, 2026 snapshots. Housecall Pro charges $35 for each user past eight on Max. Jobber charges $29 for each extra user.
- Add-ons. Dispatch is the base. Phones, price book, marketing and payments are separate modules on many plans, which is how a reviewer ends up paying for a feature that sits idle.
- Contract terms. Annual terms that renew on their own are common. The renewal date and notice window live in the order form, not on the pricing page.
ServiceTitan publishes no prices, so the range above is a third-party estimate. Treat it as a planning number and ask for a written quote.
How much does HVAC dispatch software cost per month in 2026?
For a 10-person shop, the published plans run from $208 to $533 a month, and the unpublished one is far higher. Here is what I read on each pricing page on November 4, 2026.
| Software | Plan for 10 users | Per month | Per year | How users are priced |
|---|---|---|---|---|
| Service Fusion | Starter, yearly | $208 | $2,496 | Unlimited users |
| Service Fusion | Pro, yearly | $533 | $6,396 | Unlimited users |
| Jobber | Grow, 10 users, yearly | $299 | $3,588 | $29 per extra user |
| Jobber | Plus, 10 users, yearly | $449 | $5,388 | $29 per extra user |
| Housecall Pro | Max, 10 users, yearly | $369 | $4,428 | 8 included, $35 each after |
| ServiceTitan (estimate) | 10 techs at $374 | $3,740 | $44,880 | Per technician |
Housecall Pro: $299 plus 2 x $35 = $369. Jobber and Service Fusion figures are the yearly-billing prices on their pricing pages. ServiceTitan is the $374 midpoint of CostBench's $250 to $498 range, not a quote.
Two cautions. The cheap tools are not the same product as ServiceTitan: it covers more, such as call booking, memberships and reporting depth, and the table prices dispatch-style plans, not feature parity. And monthly billing costs more: Service Fusion Starter is $245 monthly versus $208 yearly, a difference of $444 a year.
What does a 10-tech shop pay for dispatch software over three years?
Worked example, not a client result. A shop with 10 technicians on a per-tech suite at the $374 midpoint pays $374 x 10 = $3,740 a month.
- One year: $3,740 x 12 = $44,880
- Three years, prices flat: $44,880 x 3 = $134,640
- Low end of the estimate ($250): $2,500 a month, $30,000 a year
- High end ($498): $4,980 a month, $59,760 a year
Now the same shop on a flat plan: Service Fusion Pro is $533 x 12 = $6,396 a year, or $19,188 over three years. That gap, about $115,000 over three years against the midpoint, is the reason owners shop around. It is also why the comparison needs a feature check first: if the shop genuinely uses the call booking, memberships and reporting that the larger suite bundles, the flat plan may not replace them.
What should I check before my next renewal?
Five steps, each under an hour. Do them before the notice window closes, not after the invoice arrives.
- Find the renewal date and the notice rule. It is in the order form or the sign-up email. Write the date in your calendar with a reminder 60 days ahead. The cancel ServiceTitan guide walks through what to look for in the contract.
- Itemize every module you pay for. List each line, who uses it, and when it was last used. A reviewer paying for an idle price book is the case to avoid.
- Count seats against real people. Former techs, seasonal helpers and test logins still bill on many plans.
- Export your data today. Customers, equipment history, jobs, invoices, price book. Open the files and check they are complete. Do it before any dispute starts.
- Ask for the exit cost in writing. Request the exact early-termination amount and what a sales promise is worth. A verbal promise made at the sales stage is the one reviewers say went missing.
For options and prices side by side, see the ServiceTitan alternatives guide.
Is it ever cheaper to own your dispatch software than rent it?
Sometimes. It depends on how many tools you rent and how many techs you have. At 10 techs on a per-tech suite, owning can win. On a flat plan like Service Fusion, renting wins.
Take the 10-tech example above at $3,740 a month. CNL's Core stack (2 to 4 tools) starts at $18,000 once plus $590 a month, and hosting runs about $150 a month at cost in your own cloud account. That is $740 a month, so the shop keeps $3,740 - $740 = $3,000 a month and the $18,000 is paid back in 6 months. Over 36 months, owning costs $18,000 + 36 x $740 = $44,640 against $134,640 rented. That is an estimate built on a third-party price midpoint, with prices held flat.
Now the other case. A shop on Service Fusion Pro pays $533 a month. The same Core stack costs $740 a month, more than the flat plan, so the right answer is to keep renting. The same goes for a 3-tech shop: the per-tech fees are too small for a build to pay back.
CNL rebuilds the tools shops rent (ServiceTitan, Housecall Pro, Jobber, Service Fusion, FieldEdge and the tools around them) as one system the shop owns: code in your GitHub, data in your own cloud account. There are no per-tech or per-seat fees, the flat monthly fee is locked for 24 months, and there is a 30-day exit. CNL only starts when the audit shows the rebuild paying for itself within 12 months of going live. It does not rebuild email, accounting ledgers or payroll. The free stack audit gives a line-by-line rebuild plan, a fixed fee and the payback month within five business days, and it says plainly when renting is cheaper.
If you are also weighing a switch, the earlier post on Housecall Pro price rises shows how a promo price becomes a list price.

What is HVAC dispatch software?
It is the schedule board that assigns jobs to technicians, shows who is free, and sends job details to their phones. Most products bundle it with invoicing, customer records and payments.
Does ServiceTitan publish its prices?
No. Its pricing page asks you to request a quote. CostBench recorded $250 to $498 a user a month on March 6 and July 16, 2026, so use that as an estimate and get the real number in writing.
Which dispatch software has no per-user fee?
Service Fusion lists unlimited users on every plan, from $208 a month (Starter) to $533 (Pro) billed yearly. Check that the plan includes the dispatch features you use, since Starter lists scheduling and text alerts but Plus and Pro add integrated voice and text.
Can I get out of an annual contract early?
That depends on your order form. Owners report quotes for early exit that run into the tens of thousands of dollars on some vendors, so read the termination clause and ask for the figure in writing before you sign or renew.
How do I avoid an automatic renewal?
Put the renewal date and notice window in your calendar, send written notice inside the window, and ask for a confirmation email. Keep a copy of every message.
