How to cancel a ServiceTitan contract without paying twice
Short answer: give ServiceTitan written notice before your renewal date (owners and ServiceTitan's own replies point to a 30-day notice rule), export your data while your login still works, and have the replacement running before the term ends. Cancelling mid-term is where shops get hurt: owners report demands for the full remaining balance, from about $16,000 to $67,230.
ServiceTitan does not publish its agreement or its prices, so your signed order form is the only document that settles your dates. Read it first.
Step 1. Find your three dates
Pull your signed order form and master agreement (ask your Customer Success Manager for a copy if you cannot find it). Write down:
- Term end date. Contracts are commonly 12 months, with 24 and 36 months offered for a discount.
- Notice deadline. The last day written notice is accepted before the term auto-renews. A ServiceTitan reply to a BBB complaint names a 30-day notice rule; check your own copy.
- Renewal price. Owners report increases at renewal, including a price that "doubled" after two years.
Put the notice deadline in your calendar with two reminders. Missing it by a day can mean another full year.
Step 2. Do not cancel mid-term unless you have priced it
Recent BBB complaints describe early-termination demands, not partial refunds:
| Reported demand | Context reported by the owner | Source |
|---|---|---|
| $67,230 | Remaining balance on a 24-month agreement | BBB, Apr 2026 |
| $32,160 | Remaining balance demanded on exit | BBB, Jul 2026 |
| about $16,000 | Remaining months at the contracted rate | BBB, Apr 2026 |
Owner reports, not ServiceTitan terms. Your agreement decides what you owe.
In most cases the cheapest exit is the renewal date: run the old system to term end, switch the day after.
Step 3. Export everything before you give notice
Owners report losing access soon after cancelling. Export first, while every report still loads:
- Customers and locations, with contact history and notes
- Jobs and job history, including equipment installed at each location
- Estimates, invoices and payments (match the totals to your accounting system)
- Pricebook: services, materials, equipment and your markups
- Memberships and service agreements, with renewal dates and visits left
- Technician records, timesheets and commission reports you need for payroll
- Call recordings and marketing attribution, if you use them
Save each export as CSV, open every file once to check it is complete, and keep two copies outside ServiceTitan.
Step 4. Line up the replacement before the term ends
A switch takes weeks, so start the replacement about 60 to 90 days before your notice deadline:
| When | What happens |
|---|---|
| 90 days before term end | Pick the replacement. Get a fixed quote and a go-live date. |
| 60 days before | First full data export. The new system is built or configured against it. |
| Before the notice deadline | Send written notice. Keep the delivery receipt and the reply. |
| 2 weeks before | Train dispatch and techs. Run both systems side by side. |
| Last week | Final export, final import, switch-over day. |
Step 5. Send written notice, and keep proof
There is no online cancel button; notice goes in writing to your account team. Say plainly that you will not renew at the end of the current term, name the term end date, ask for written confirmation, and ask how long your data stays available. Send it by email and keep the reply.
What to switch to
You have three paths: another per-tech or per-user platform, a cheaper flat-price tool, or software you own. Our ServiceTitan alternatives guide compares them, and the ServiceTitan pricing guide works out what staying costs at 5 to 30 techs.
CNL builds the owned option: we rebuild what you use in ServiceTitan as one system in your own cloud account, with no per-tech fees and a 30-day exit. We plan the switch-over around your renewal and notice dates, and your old system keeps running until the new one is live.

Can I cancel ServiceTitan without paying a termination fee?
Usually only at the end of your term. Give written notice before the renewal date in your agreement and you stop at term end with nothing more to pay. Cancelling mid-term is where owners report demands for the full remaining balance.
How much is the ServiceTitan early termination fee?
ServiceTitan does not publish one. Owners filing BBB complaints in 2026 report demands from about $16,000 to $67,230, generally the remaining months of the contract at the contracted rate.
How long is a ServiceTitan contract?
Commonly 12 months, with 24 and 36 month terms offered for a discount. Terms auto-renew unless you give written notice in time. Check your own order form, since terms vary by deal.
How much notice does ServiceTitan need?
A ServiceTitan reply to a BBB complaint names a 30-day notice rule before the annual renewal date. Your agreement may say otherwise, so check it and send notice early.
Will ServiceTitan let me export my data?
You can export most records as CSV from reports while your account is active. Owners report losing access after cancelling, so export customers, jobs, invoices, the pricebook and memberships before you send notice.
Is ServiceTitan worth it for a small HVAC company?
It depends on the bill. At an estimated $250 to $498 a tech a month, a 10-tech shop pays about $30,000 to $60,000 a year before add-ons. If you use a fraction of the features, a flat-price tool or software you own usually costs less over three years.
